At Vivat, we use your information to make our programs, concerts and musical experiences possible. We collect only what we need, protect it and aim to keep you informed about how we use it.

Contact and profile details, applications, participation in programs and concerts, surveys, photos and the technical information needed to operate the platform.

To manage applications and programs, organize schedules and concerts, issue tickets and diplomas, communicate with you and measure our impact.

Who we work with
We use trusted providers for specific functions, including DigitalOcean, Mandrill, Twilio, Mailchimp and OpenAI. We do not use your data for third-party advertising.

How long we keep it
Identity and insurance documents are deleted 2 months after the event. Unsuccessful applications are deleted after 12 months. We retain relevant artistic and institutional history.

Your choices
You can request access to, correction or updating of your information, opt out of optional communications and request deletion where applicable.

Children and young people
When a participant under 18 is accepted, we request authorization from their parent or legal representative during onboarding.

Security and mobile use
We protect accounts and documents with access controls. The app may securely store information needed for offline use and clears it when you sign out.

Photos and public content
Most of your data is not public. Artistic names, programs, photos or testimonials are published only where appropriate for the program and applicable authorizations.

Fundación Vivat Música (“Vivat”, “we”, “us” or “our”) uses digital tools to organize its musical, educational and cultural programs and to facilitate interaction among participants, teachers, artists, audiences and our team.
This Privacy Policy explains how we collect, use, store, share and protect personal information across the Vivat ecosystem.
Our principle is simple: use personal information responsibly, only for purposes related to our programs and services, and as transparently as possible.

2. Scope of this policy
This policy applies to personal information processed through digital services operated by Vivat, including websites, open calls, applications, the Vivat Platform, mobile applications, schedules, concerts, tickets, surveys, diplomas, photographs, videos, communications and support services.
3. Information we may collect
Visitors and concert attendees
Name, email address, phone number, language, age range, registration and ticket information, attendance status, communication preferences, survey responses and limited technical information.
Applicants and participants
Date of birth, city and country, identity document, instrument, educational institution, current teacher, repertoire, musical experience, application responses, audition videos, evaluation information, group and schedule, attendance, photographs, parent or guardian contact details and other information needed for the program.
Teachers, artists and collaborators
Name, contact details, instrument or role, biography, photograph, institutional affiliation, city and country, website, participation history, schedules and other information needed to present their participation publicly.
4. How we use information
To receive and evaluate applications, communicate with applicants, organize classes and activities, create schedules, manage concerts, issue tickets and QR codes, conduct surveys, issue diplomas, prepare concert programs, produce impact reports, maintain historical records, send operational communications, respond to support requests and improve our services.
5. Information that may be made public
Artistic names and credits, teacher biographies, participation in programs, approved photographs and videos, approved quotations, diploma verification and institutional reports.
6. Participants under the age of majority
When an accepted participant is a minor, Vivat will request the parent’s or legal representative’s name, email address, phone number and express authorization. Parents may email privacidad@vivatmusica.org with questions.
7. Concert registration, tickets and attendance
Name, email address, phone number, language, age range and preferences are collected to manage capacity, issue tickets, send event information, manage waiting lists and record attendance.
8. Email, WhatsApp and other communications
Vivat uses Mailchimp Transactional (Mandrill) for email, Twilio for WhatsApp and Mailchimp for contact management. To opt out of optional communications: privacidad@vivatmusica.org
9. Mobile applications
The app provides access to platform services with additional capabilities: secure sessions, offline data, QR scanning, photo uploads and ticket validation. It does not use location, the address book, advertising identifiers or native push notifications.
10. Cookies and local storage
Vivat uses limited, necessary cookies to maintain sessions, continue applications, remember preferences and support offline features. We do not use advertising cookies. Some pages load content from YouTube, Vimeo or OpenStreetMap.
11. Artificial intelligence
Vivat uses OpenAI for editorial assistance, translation and impact reports. AI is not used to select candidates, evaluate auditions or make participation decisions. AI-generated content is reviewed before publication.
12. Providers and third parties
DigitalOcean (hosting), Mandrill (email), Twilio (WhatsApp), Mailchimp (contacts), OpenAI (editorial AI), YouTube, Vimeo and OpenStreetMap. These are not used for advertising or cross-app tracking.
13. Information retention
Unsuccessful applications: up to 12 months. Identity and insurance documents: 2 months after the event. Institutional archive: appropriate long-term records of participation, concerts, diplomas and reports. Technical information: shorter periods.
14. Your choices and requests
You can ask whether we process your information, correct data, update information, opt out of optional communications, change authorizations, request deletion or ask for explanations. Contact: privacidad@vivatmusica.org
15. Security
Authenticated access, role-based permissions, credential protection, secure password storage, restricted document access and local encryption in the mobile app. To report a compromised account: soporte@vivatmusica.org
16. International processing
Some providers operate outside Colombia. The information transferred depends on the specific service.
17. External links and content
Videos on YouTube or Vimeo and maps on OpenStreetMap have their own privacy practices.
18. Changes to this policy
We may update this policy when our services, technology or practices change. The current version will indicate its last update date.
